Foundation Football Limited ("we", "us", "our") operates after school coaching programmes in New Zealand. We are committed to protecting the privacy of the children and families who participate in our programmes, in accordance with the New Zealand Privacy Act 2020.

2. What Information We Collect

When you register a child for one of our programmes, we collect the following personal information:

  • Child's full name

  • Child's school and year group

  • Parent or guardian name

  • Parent or guardian email address

  • Parent or guardian phone number

  • Emergency contact details

  • Any relevant medical information or additional notes provided by the parent or guardian

  • Media consent — whether you have agreed to your child appearing in photos or videos used on our website and social media

We also record session attendance data, including the times at which your child signed in and out of each session.

3. Why We Collect This Information

We collect and use this information solely for the following purposes:

  • To manage your child's enrolment in our programme

  • To record and track session attendance for health and safety purposes

  • To contact you in the event of an emergency

  • To ensure our coaches are aware of any medical needs relevant to your child's participation

  • To send you programme-related communications such as session reminders, term updates, and important notices

  • To honour your media consent preferences when taking and publishing photos or videos from our sessions

  • To meet our legal obligations as a programme operator

4. Where Your Data Is Stored

Your personal information is stored securely in Google Workspace, a cloud-based service provided by Google LLC. Google Workspace is used by schools and organisations worldwide and meets international data security standards including ISO 27001 certification.

Data is accessed only through our secure staff portal, which requires a unique access code. All data is transmitted over encrypted HTTPS connections.

We also use the following third-party services in the course of operating our programmes:

  • Squarespace — our website and registration platform, which processes your registration information and payment details

  • Google Workspace — for secure data storage and email communications

Each of these providers operates under their own privacy and data protection policies. We have selected providers that meet internationally recognised security standards.

5. Who Can Access Your Information

Access to your personal information is strictly limited to:

  • Foundation Football Limited directors and administrators

  • Authorised coaches who require access to manage sessions and attendance

We do not sell, share, or disclose your personal information to any third parties, except where required by law or as described in Section 4 above.

6. How Long We Keep Your Information

We retain your personal information for as long as your child is actively enrolled with Foundation Football, and for a period of up to six months following the end of their last enrolled term. This retention period allows us to respond to any queries, complaints, or health and safety matters that may arise after a programme concludes.

Session attendance records, which form part of our health and safety obligations, may be retained for up to seven years in accordance with standard practice for youth activity providers.

After the applicable retention period, personal information will be securely deleted from our systems.

You may request deletion of your information at any time by contacting us (see Section 8).

7. Media Consent

During registration, we ask whether you consent to your child appearing in photos or videos taken during our sessions. These may be used on our website and social media profiles to promote our programmes.

Your consent is recorded at the time of registration. If you wish to withdraw your consent at any time, please contact us at info@foundationfootballnz.com and we will update our records accordingly.

We will not use images or videos of any child where consent has not been given.

Under the New Zealand Privacy Act 2020, you have the right to:

  • Ask us what personal information we hold about you or your child

  • Request correction of any information that is inaccurate or incomplete

  • Request that we delete your information

  • Make a complaint to the Office of the Privacy Commissioner if you believe your privacy rights have been breached
